Umbrella Company Assurance Policy

Our Commitment

At Zebra People, we are committed to ensuring that all contractors are employed fairly, legally, and ethically. We work exclusively with SafeRec accredited umbrella companies to guarantee compliance with the Umbrella Legislation 2026, including PAYE obligations, employment rights, and statutory protections.

Scope

This policy applies to:

• All SafeRec accredited umbrella companies engaged by Zebra People
• All Zebra People staff involved in contractor placements, payroll, or compliance
• All contractors placed through these umbrella companies

Onboarding

Before we engage any umbrella company, we carry out due diligence to ensure they meet our compliance standards. This includes:

• Verification of SafeRec accreditation
• Review of financial stability and insurance coverage
• Completion of a compliance checklist covering:
  • Tax and National Insurance compliance
  • Holiday and sick pay entitlements
  • Pension and auto-enrolment compliance
  • Companies House record

All documentation is securely retained for audit purposes.

Contracts

All umbrella companies we work with must sign contracts that meet both REC standards and Zebra People’s in-house terms and conditions. These contracts ensure:

• Transparent pay and deductions
• Timely reporting of payroll information
• Compliance with employment law and ethical standards

Contracts are regularly reviewed and updated to reflect legislative changes, industry best practice, or updates to our in-house standards.

Ongoing Monitoring

We maintain ongoing assurance through:

• Periodic audits of umbrella companies
• Monitor monthly payroll checking reports from SafeRec
• Checking HMRC’s list of tax avoidance scheme, promotors, enables and suppliers
• Monitoring Companies House records
• Escalation of any non-compliance to senior management
• Suspension of engagement where standards are not met until remedial action is confirmed

Risk Management

We closely monitor all umbrella companies we work with and document any issues that arise. Any non-compliance is addressed promptly, and corrective actions are tracked to ensure standards are met. This approach helps us maintain high quality, safe, and reliable contractor engagements.

Policy Review

This policy is reviewed annually or following any legislative or regulatory change, and lessons from audits or industry best practice are incorporated into continuous improvement.
